Location: Dallas or Houston, Texas (Hybrid – Eligible for one remote workday per week)
FLSA: Non-Exempt


POSITION SUMMARY:
The Lateral Associate Recruiting Assistant supports Jackson Walker’s attorney recruiting initiatives with a focus on lateral associate hiring and integration. This position assists with scheduling, interview coordination, onboarding logistics, and candidate communications for lateral attorney hires. The Assistant collaborates with recruiting professionals, attorneys, and business staff to ensure a seamless hiring process and positive candidate experience.

This role also provides administrative support for pipeline programs and firmwide recruiting projects, contributing to the department’s overall efficiency and success.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
Lateral Recruiting & Integration

  • Track and maintain candidate information, interview schedules, feedback, and reports in the applicant tracking system.
  • Coordinate logistics for virtual and in-person interviews using platforms such as Zoom, Microsoft Teams, and Flo Recruit.
  • Assist with onboarding and integration of new associates, including integration surveys and follow-up activities.
  • Prepare and maintain candidate profiles, process invoices, and handle reimbursements related to recruiting activities.
  • Support recruiting leadership in preparing confidential reports and statistical data related to hiring trends and outcomes.

Pipeline Programs

  • Assist the Recruiting Manager in coordinating firmwide pipeline initiatives and outreach.
  • Help plan and execute events associated with pre-law pipeline recruiting efforts and shadow day programs.

General

  • Assist with social media and recruiting content for firm channels, including posts and promotional materials.
  • Submit expense reimbursements and assist in budget tracking and vendor management.
  • Order and manage promotional items and recruiting materials inventory.
  • Coordinate conference room scheduling and event logistics with JWVideo and Catering teams.
  • Support recruiting team events, team-building initiatives, and department meetings.
  • Develop and maintain relationships with attorneys, firm leadership, and administrative staff.
  • Participate in NALP and local recruiting organizations (e.g., RADS, HALRA).
  • Provide general administrative support to the recruiting team and assist with special projects as assigned.
  • Travel to other JW offices as needed.

QUALIFICATIONS:

  • Bachelor’s degree or equivalent work experience required.
  • Minimum of 1 year of administrative or recruiting experience preferred, ideally in a law firm or professional services environment.
  • Experience with applicant tracking systems (viDesktop preferred).
  • Proficiency in Microsoft Office 365 – Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Flexibility to work occasional evenings and weekends during peak recruiting seasons.

WORK CONDITIONS:
This position operates in a typical professional office environment with standard equipment. The role requires
professionalism, discretion, and the ability to manage multiple priorities while maintaining attention to detail. The position may require occasional overtime during peak recruiting seasons or major firm events.
